Meeting Minutes

Review of final team rosters:
Mites 14 players- no issues
Squirts 3 teams SG 13 players-no issues
Hartford Squirt A/B 12 players and one who will not play Cameron Broughton
SM 12 players and one who will not play Zach Powers
PW PW Maroon- 14 players- no problems
Hartford PW 14 with one requested change
Petition request for Elizabeth Bergeron to transfer from girls U12 to Hartford PW, Jay
Mullen and Mike Leiford have agreed to accept Elizabeth to the team with board
Approval, Steve Liebold says Elizabeth was evaluated at a practice and is ok for the team.

Don says LeeAnn must be team parent. Steve says he would also like LeeAnn to accept. LeeAnn is ok with this.
Bantams This has become a challenge. 5 Bantams who made the lower level team have quit. (1 may come back) This means we do not have enough for a team. One possible solution Hanover and Woodstock have low numbers and both are interested in a possible combination. There is no impact on the upper team however Jesse Webber who was next for upper will move up giving the upper team 16 with 3 expected to make the HS team. Hartford and Woodstock may send players to us to make our team whole as our budget and schedule is set around 2 Bantam teams. There may be a possibility f 2 lower teams with another tryout. This to be determined. Lower level has 5 Lebanon, and 4 Hartford with 1 goalie. Jon says the parents are the problem. 1 player from the lower level has petitioned to Hartford Midgets. Kristi says there are some players who made the upper team who have not been at practices. (Hartford players) Brad Shaw says no problem with the 1 petitioning up to Midges but we should be careful as it may be setting a poor precedent. Steve (1st time as tryout coordinator) believes he failed to make good communication with all parents and players about the evaluation process. Believes he should have been clear that there would be no negotiations, decisions would be final.
Petition request: Bantam aged player who did not make the upper team wants to play Hartford Midgets. Hartford has approved the petition.

Midgets- Don does not have a roster for the Midgets. Maddy to give Brad Shaw and Dawna Pidgeon names and information that she has from registration.
Girls U14 16 players with 2 who did not make the team. (1 approved to move to PW)
Girls U12 16 players with 2 who do not make the age requirements and need to petition in writing to be on this team.
Don will meet with Annmarie on registration changes.
Website discussion: Annual contract is up for renewal $250/year. (this is below their usual fee, Edmund says it is for the kids).

Jon will send the merchandise catalog to Edmund for posting soon. Ahmad suggests moving the useful info to the side or on top. Suggestions on making the schedule easier: Edmund suggests putting schedule for each team individually. Bobee and Ahmad in charge of organizing the website and bringing suggestions to next meeting for forwarding to Edmund. HYA schedules on GLYHA website? Yes, we owe it to our members who are playing in Hartford. Don will have Hartford send all schedule info to Bobee for placement on our website. Don will provide Edmunds info to Hartford, Maybe he can fix theirs. Don to send rosters with coaches to Edmund. Don says he would like to see all sponsor info on the website. Edmund suggest a link to their own business site or home page. Jon will send all paid sponsor info to Edmund.
Selection process: Jim suggests providing a blank form to all parents so they know what the players are being evaluated on. Suggest not having parents at the rink during tryouts. Jon suggests putting a list of evaluators up with their credentials board says no. LeeAnn says GLYHA did not follow the policy for the girls evaluation. There were not 5 evaluators. Suggest the girls for U12 do not attend the tryouts. Discussion on the selection process has been moved to a later date when Brad Whitaker is present.
State Meeting Bobee was present at the meeting. Charlie Fortier needs Don and Maddys correct email information. Curfewed games NH will curfew games. Head coaches should know there are no time outs during a curfewed game. Associations need to tell everyone no running time: should be indicated on score sheet that it ended early. A 6 goal difference is still running time. Girls must play at correct age level teams. Cathy Devine- no faxing unless no time for mail. Team parents go to our registrar who will get information to her. Tournaments should now be sanctioned. Holiday tournament rosters done BEFORE the holiday starts. Mites problems with labels on game sheets no font 2. Peewees no Twin Valley or Kearsarge teams. Tier 5 & 6 combined. Bantams need to write what ref says, do not make up. Parent reps should be checked to make sure they have the correct address for game sheets. Bantam Tier 6 no tournament, state tournament cancelled. Parent penalties are already a problem. Association to hold hearing, then go to the state. David Maxfield is the new referee in chief.
In- house program: Coordinator not present. Bobee says she has sent the LTP and VM schedule but it has not appeared.
Team sponsorships: 4 payments received: 1 team Compucheck, Lavalley $100, Resource System $150, and Miller $2500. Compucheck did not specify which team. No calls made. Ahmad did not get letter. It was sent email. NE Waste donation not team sponsorship, Topstitch, Wilson Tire, Roberts Auto and Stryker have all made verbal commitments. Letters sent to American Legion, Hypertherm, Mascoma Savings Bank, Unifirst. S&G Masonry says no but may do ads. Jon would like to see the 2nd letter sent to the Chamber of Commerce business list. He will firm up the cost to do this mailing. Review of previous sponsor list and who was supposed to call each one. Dragon Motor Sports and Cardigan Land Survey also have made verbal commitments for team sponsorships.
Coordinator Reports:
A) Treasurer report: review of P&L statement. Maddy has spoke to Hartford rec. and they are all set. Nothing major is pending. Before the end of the month we will hopefully do another registration for in-house programs.
B) Coaching coordinator: Coaches meeting had a good turn out. 24 present and most paperwork was received. Head coaches proposal by Steve Liebold are:

Steve is sending in background checks now. Another coaches meeting to be held within the next couple of weeks.

Don declares official title for Ahmad: Website and mass communication and electronic media coordinator. Ahmad accepts.
Dave Reece needs firm schedule. Don says the final schedule is on the web. Hartford compressor said to be all set. Ice a definite by Monday , hopefully by Friday. Recommendation made that all head coaches show the rules and regulations video to their teams. Contact Don for the video.
C) Girls coordinator: Reed believes that Heidi Miller cut from U14 will probably play for the U12. Cannot review the 2 who need to petition because of age until written petitions are received. Ahmad gives a thank you to Reed for a great job with the girls programs.
D) Registrar: no report availabsheduler:
F) Equipment Manager: Kristi took Wednesday off to organize jerseys for distribution. All teams have games this weekend and she will make sure jerseys are handed out. U12 to get jerseys? Kristi does not know if there are enough, she will know after Wednesday.

G) In-house coordinator: no report available
H) Volunteer coordinator: The online fundraiser is up for renewal.

Jon would still like to see the pizza card fundraiser. He will look into this. Dawna to decide when tag day should be held.
Pictures: There is a new company which would provide picture taking as a fundraiser but Ginger suggests to Kristi that we should stay with FlashPhoto. Board recommends this as well. Kristi needs to know if she is scheduling only Lebanon or both Lebanon and Hartford teams. Don will check with Jim. He believes it will be just Lebanon but will double check.
Kristi will not be making game sheet labels. Don will check with the previous equipment manager and/or a disc format that will do these labels.
Brad wants to know if there is a dollar amount for each team to use during the season for equipment. Jon says there was an approved amount in previous years. ($60-75??) Don says it is not currently built into the budget but he will look into.
Kristi went to Keene Medical for some supplies for the first aid kits. Was able to get some supplies, but needs a complete list of what should be in the box. Steve and Don will make a complete list and send to Kristi. Steve is also to send list of coaches to Kristi who will coordinate all boxes and make sure they are complete.
I) Tournament coordinator: January Thaw is sanctioned. Tournament fee will be $700. Would we consider a discount for dual teams? $100 discount per association for ones who enter 3 teams.
