MEETING MINUTES

NOVEMBER 13, 2006

 

Present:  Steve Liebold, Jim Damren, Tammy Daley, Brad Whitaker, Don Morong, Brad Shaw, Dawna Pidgeon, Annmarie McDonagh

Board members not present:  Maddy Goodell, Jon Singleton, Ahmad Haidari

 

A:  Presidents report:

Ice billing update, Jay Mullen to speak with Hartford board.  Previous agreement called for no cross billing in October.  Don proposed that Hartford pay for all of November because of their ice problems and cross billing to start in December,  Jay is in agreement but will meet with their board on Thursday and will get back with the decision. 

 

Software:  Systems plus deal was for an academic software program.  Don doesn’t think it will work, is shopping around for another deal. 

 

Team updates:  Mites are ok, Squirt 5 is struggling but the coach is optimistic, possible new assistant,  Middle Squirts have concerns regarding coaches.  Lebanon coach too loud, Hartford coach does not like bench coaching.  Parents want 1 picked, not two head coaches.  Jim heard the Hartford coach was not expected to coach this season.  Upper Squirt is ok, belief that they will come around if the kids do not become discouraged.  Brad wants to see what this weekend looks like before making any decisions regarding a change of tiers.  Brad Shaw suggests setting personal goals for each to focus on instead of just winning the game, believes this will help with their morale.   Concerns for the lower peewees:  one skater who is taking cheap shots because of lack of skating skills?  Thrown out of game for poor sportsmanship, was spoken to by Mark Bergeron.  Upper peewees are struggling.  Lower Bantams looking to move down to tier 5, need the game sheets to make this happen.  Another player has quit and the “best” player will leave next week for the Woodstock HS.  1 new player joined on Friday, father will help coach.  Annmarie says the father will be a huge morale booster.  Brad Whitaker will contact Twin Valley to see if there are any Bantam aged kids there who are interested in playing.   The upper Bantams have 16 and are expected to lose 4 players to the HS team making it impossible to move any down.   The belief is that the lower Bantams are becoming discouraged and are starting to blame each other.  Josh did play on Saturday (not happily) and did not show on Sunday.  Don says that today he received a call that he has quit the team.  Annmarie believes that there are good players on the team and a lot of positive attitudes.  They are very upset about Josh, as they believe that he could’ve been a leader on and for this team.  Brad Shaw says the Midgets have a problem.  Friday night time slots are not long enough for their games, making 3rd period running clock.  Jay is looking to fix this problem.  Midgets are also looking for higher refund (players who make HS) then this board previously approved because of the ice time changes when no Hartford ice.  Players were unable to make practice due to last minute changes because of the ice issues.  Brad believes we should increase $ amount of the refunds.  Don says they were unexpected and uncontrolled circumstances with every team feeling the effects and there will be no increase in the amount of refund.  Board agrees.  Brad Shaw suggests we be careful with our decisions as they are already “sensitive” because of the last season  and some believe they are “getting screwed” again.  The board understands but circumstances could not be helped, we were struggling to find ice anywhere for every team and they only lost one ice spot. 

 

 

B:  Vice Presidents report:  Brad reviews the monthly newsletter.  In addition, Don would like one person from each travel team to give an update for each team individually.  Person would be responsible for writing the article and getting it to Brad in time for the newsletter.  The article should be team news with a general update not a score update.  Brad Whitaker has also made a schedule of duties for each board position and when each duty should be done.  He says it is a starting point, everyone should look at and add to if necessary so he can complete it. 

 

C: Treasurer report:  not available

 

D: Secretary report:  Change to previous minutes:  Ted Moynihan is the coach for Bantams, not peewees as indicated in the minutes from October 16.  Minutes are approved with this change. 

 

E:  Volunteer Coordinator Report:  The online fundraiser has been renewed.  Dawna thought it needed to be, but has found out that it will continue to automatically renew unless we indicate otherwise.  Dawna has also had some emails returned to her, Brad will correct addresses and get them back to her.  All Lebanon registered players need to participate in our fundraisers and all Hartford registered players must participate in Hartford’s fundraisers.  Suggests Dawna go through the team rosters instead of the registrars reports.  Tag Day:  Dawn would like to assist someone this year so they will be able to take over as she expects this to be her last year doing this.  Steve Bingel and his wife have volunteered to help and she will contact them.  Anything for bulletin board should be given to Laurie Sanborn. 

 

F:  Coaching Coordinator report: 

            Steve proposes the following for assistant coaches and parent reps:

 

Mites:  Kriplin, Garlin, Jeff Damren as assistant coaches with Lisa Damren and Katherine Gaudette as parent reps.

Squirt 1:  Jim Damren, Jim Borchet as assistant coaches with Tina Kielbaka as parent rep.

 

Squirt 3:  Annmarie, Greg Hutton, and James Gauthier as assistant coaches

 

*Volunteer Greg Hutton is a LHS graduate, played GLYHA and would lie to help out with the squirt 3 team.  He is not certified yet and should be patched 2, he cannot be on bench for games but can help with practices.  He would be registered and background check would be done.  James Gauthier is another volunteer with not previous hockey experience, has a child in LTS, is patched 1 and could be on the bench.

                       

Peewee:  Scott Sanborn, Ben Robbins, and Jeff Lyford as assistant coaches with Karen and Dick Davis as parent reps.

Bantams:  Jay McReynolds, Annmarie and Steve Powers as assistant coaches

Midgets:  Mark Devins, Scott Shaw, Brad Shaw, and Dan Lawson as assistant coaches with Deb Clifford as parent rep

                        U14:  Dewhirst as assistant coach with Karen Whittaker as parent rep

U12:  Ballard and Kami Stillman as assistant coaches with Deb Mitchell as parent rep.

 

~Brad Whitaker makes motion:  motion to accept all assistant coaches and parent  reps as proposed.

            ~motion approved:  voted and passed unanimously.

 

 

Assistant coaches need to be registered and background checks to be run.  Some are still missing paperwork but Steve will follow up.  Background checks that have been done have shown nothing unexpected.  Dave Reece called Steve back today, he will be starting his time with our teams this Tuesday.  Schedule is for this week only.  Annmarie will ask Roger if he can help with another skill.  Steve to send list of parent reps to Dawna.

 

G)Registrar report:  Annmarie has sent rosters to all head coaches for signatures.  She would like to see them all back by Friday.  Some paperwork remains outstanding but she is following up on those.  Annmarie is doing the gamesheet labels and will do them in mass once all roster info is in.  She says her workload is becoming more tolerable.  She still needs birth certificates.

 

H)Tournament Coordinator report:  not available but inquiries for the January thaw tournament are coming in.

 

I)Equipment Manager report:  The picture schedule is all set.  Kristi has scheduled for all Hartford and Lebanon teams.  Schedule proposed:

 

~Brad Whitaker makes motion: motion to accept Kristi’s schedule for picture taking.

            ~motion approved:  voted and passed unanimously

 

Must also receive approval from the Hartford board.

K)Scheduler report:  not available

 

L)Girls Coordinator report:  (Reed was unable to come to the entire meeting but did stop in.)  Reports that at the state meeting discussions were made about hosting a state tournament in one location for all girls teams at all levels.  Possibly the third week of February with 25 hours of ice needed.  There would be up to 7 or 8 different groupings with 3 or 4 teams in each grouping.  Don says yes, this is something GLYHA would be interested in hosting.  Reed will pursue this.

 

M)In-House Coordinator report:  Amy Hall will be the in-house coordinator.  There were problems at the LTP, no one was there to run it, Steve Liebold took charge.  Annmarie had thought that Charlie agreed to run this program but he was not there.  Annmarie will send information for Amy Hall to Don.  High school students have agreed to assist with 3 of the LTS.
